Collaborator is an online portal that facilitates smoother working relationships by allowing trading partners to easily and securely share special pricing agreements (SPAs).
You may wish to request a new SPA with your trading partner, which will be sent to them to review before the agreement is finalized.
Requesting a SPA
To request a SPA to your trading partner within Collaborator:
Step 1: Click on Special Pricing Agreements in the green banner at the top of the page.
Step 2: Click on SPAs listing in the drop-down menu.
Step 3: On the SPAs listing page, click the Request a SPA button in the lower left of the page.
Populating the SPA terms
Populate the fields within the SPA terms using the guidance below. Where a field is mandatory, this is indicated on your SPA by an asterisk * next to the field name, e.g. Currency*.
Parties

End-customer(s): Enter the names of end-customers.
Details
- Reference: Type a reference for your SPA, if applicable, between you and your trading partner. Alternatively, if the reference is left blank, a unique reference will be automatically generated by Enable when the contract is saved. The default format for an automatically generated SPA reference is S{10 random digits}, e.g. S1314145231.
- Agreement name: Type a descriptive name for your SPA. This name is displayed at the top of the SPA PDF.
- Currency*: Select a single eligible transaction currency for the SPA.
- Delivery types*: Select Distributor Delivery if goods are sent to the end-customer from the distributor. Select Direct if goods are sent to the end-customer directly from the manufacturer. Both can be selected if applicable for the agreement, e.g. if the invoice goes through the distributor but the manufacturer actually delivers the product.
- Start date*: Select the date when your SPA will begin and eligible transactions should start accruing support (inclusive of this date).
- End date*: Select the date when your SPA will end and eligible transactions should stop accruing support (inclusive of this date).
- Projected monetary value: Type a number for the SPA’s expected spend. Tip: Use this to track and compare actual spend against the projected value.
Distributor terms
- Include quantity: Set the checkbox if product quantity limits are defined in the SPA, or leave blank if not required.
- Enforce quantity limits: Displayed if Include quantity has been selected. Set the Enforce quantity limits checkbox to limit support provided after this limit has been reached, or leave blank for quantities to be used more for projection or analytic purposes.
- Support mechanism*: Select the required mechanism to calculate the amount of support a manufacturer will pay to a distributor.
- Support mechanism price list*: Only displayed if required for the selected support mechanism. Select a price list to determine the prices used to calculate support on transactions for the SPA.
- Specify end-customer pricing: Set the checkbox if the manufacturer requires specific end-customer pricing. Tip: End-customer pricing typically isn’t used within the UK, so leave the checkbox blank if this is not applicable for your SPA.
- End-customer pricing mechanism*: Only required if Specify end-customer pricing is selected. Select from one of the following options:
- Percentage discount off list price: Use this to define a specific discount for the products in the SPA, which would be used to calculate the discounted price to the end customer. For example, a product with a price of $50 and a percentage discount of 10% will result in a supported end-customer price of $45.
- Fixed contract price: Use to define the exact price for the products the customer will pay, rather than use a price list.
- Price list*: If Percentage discount off list price is selected, select the price list which should be used to calculate support on transactions.
Branches
To select and add branches:
Step 1: Click the Add button within the Branches section of the SPA.
Step 2: Use the search box or navigate through the pages to locate the required branches. Then, click on a row to select one or more branches. Alternatively, set the checkbox at the top of the column next to Reference to select all branches.
Step 3: Once you are happy with your selection, click OK.
Products
Products can be added in the SPA via the Add button or via CSV file upload.
To select and add products manually:
Step 1: Click the Add button within the Products section of the SPA
Step 2: To add products in bulk using categories or groups, select Bulk selection mode. Click on the Category or Group tab, then click on a row to select one or more categories/groups. Alternatively, set the checkbox at the top of a column to select all products.
Step 3: To add products individually, select Individual selection mode. Use the search box or navigate through the pages to locate the required products. Then click on a row to select one or more individual products.
Step 4: Once you are happy with your selection, click OK.
To upload products via CSV:
Step 1: Click the Download button within the Products section of the SPA.
Step 2: Open the downloaded products file. The columns displayed in the file are based on the selections made in the SPA.
Step 3: Populate the relevant columns for the product selections, support, pricing and quantity.
Step 4: Click the Upload button and attach the completed file. If there are any duplicates in the file, a warning will be displayed on the screen for you to resolve and re-upload the file.
After selecting the relevant products, populate the Distributor Support Mechanism and End-customer Pricing Mechanism columns for delivery. Note: The columns displayed are based on selections made earlier in the SPA’s creation.
Saving the SPA request
Once you are happy with the terms you have added, click Save & submit at the bottom of the page for your new SPA to be sent to your trading partner.
Alternatively, click Save draft if you would like to revisit your SPA request at a later time before it is submitted.
