There are three ways to create a trading program:
- Via the Activity tab, click on the Create program line tile. Here you can search and select an existing trading program to add program lines to, or click the Add a new trading program button.
- Via the List tab, click on the Create program button to use the wizard to walk you through each step. Alternatively, click on the … next to this button and click Manually create a trading program if you are more familiar with trading program creation.
- Via the Trading partners tab. We will walk you through this method below.
To create a trading program via a trading partner:
Step 1: Click on Trading programs in the green banner at the top of the page.
Step 2: Click on Trading partners in the drop-down menu. Note: This may be named differently (e.g. Suppliers or Customers), but will always represent your trading partners.
Step 3: Search and select the trading partner you would like to create an agreement with.
Step 4: Click on the Proposals tab.
Step 5: Click the Create trading program wizard button to use the wizard to walk you through each step. Alternatively, click on the … next to this button and click Manually create a trading program if you are more familiar with trading program creation.
Step 6: Click This trading partner. The trading program settings page will now be displayed.
Configure the below settings for your trading program:
- Reference: Enter a reference for the program, which will be displayed on the trading program PDF for your organization in addition to trading partner collaborators. You can also use trading program references to filter reports. This reference needs to be unique to the trading partner and the start date, e.g. you could have the same reference for different trading partners or you could have the same reference for the same trading partner if the start date was different.
- Trading program type version: Select a type to determine which Terms items can be set against the trading program. If you wish to add, remove or make any changes to the configured trading program types, please raise a ticket with our Support team including details of the changes you’d like to make.
- Currency: Select the currency of the transactions which will qualify for your rebate. Currencies displayed will be based on those configured in your channel.
- Start date: Type or select the date your rebate agreement begins. Note: Transaction data for your trading program will be matched to its program lines. Part of this matching is based on the date of the transaction, in that the given data must fall within the period for the program line.
- End date: Type or select the date your rebate agreement ends. Note: The start and end dates can be the same date if required, e.g. for single day agreements or promotional sales.
When you have clicked Complete after entering the above settings via the wizard, or if you are manually creating a trading program, the following optional settings are also displayed:
- Description: Enter an optional description for the trading program for internal purposes only.
- Settled: Leave this checkbox blank; this setting currently does not have any functionality for configuring trading programs.
- Renewal status: This cannot be edited. Once the trading program is active, the renewal status will automatically update to indicate when the program is due for renewal or overdue.
- Supersedes: If this trading program supersedes an existing or previous agreement with the same trading partner, select the program it supersedes here.
- Superseded by: If this trading program will be superseded by a new agreement with the same trading partner, select the program that supersedes it here.
- To be discontinued: Set the checkbox if this trading program will not be renewed after its end date.
Once you are happy with your trading program settings, click the Save button.
